What we collect

 What we collect for Anti Money Laundering checks

Grant Mills Wood is required to maintain records (including records of client identification and about their transactions) for at least five years after the relationship has been terminated. Personal data received from clients is protected by data protections law and will not be passed to third parties (other than the landlord, Government body/agency (to include the Police, NCA) and HMRC, upon request). The information will be used / processed only for the purpose of preventing money laundering. The information will be held on a secure cloud based system which has two factor password protection. The services of an external IT company are utilised to monitor our systems.  Any personal data within the AML/CDD information, and transaction data, that the firm is required to retain must be deleted by Grant Mills Wood after a maximum of ten years. Grant Mills Wood do comply with GDPR obligations under UK law.

As part of Anti Money Laundering Policies, we may require copies of the following information: 

- Valid passport or a valid photo card driving licence (full or provisional) 

- Certificate of Incorporation

-  Names of all shareholders who own or control over 25% of the shares or voting rights. A copy of a valid passport or a valid photo card driving licence (full or provisional) for each shareholder will be required.  

- Further information may be required upon request. 

What we do with the information we gather

We require  information to conform with Government legislation relating to Anti Money Laundering. This information will not be used for any other purposes outside of the anti laundering checks. 

All other information provided as per the list above ('What we collect') allows us to understand your needs and provide you with a better service, and in particular for the following reasons:

  • Internal record keeping. 
  • We may use the information to improve our products and services. 
  • We may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided.  
  • From time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone, fax or mail. We may use the information to customise the website according to your interests.

 

How we get the personal information and why we have it

We share this information with our property clients however we do not share this information with any other third parties unless your prior approval sought.
